Cancellation Policy: In-Person Courses, Classes & Workshops
This Cancellation Policy applies to all in-person training, including but not limited to workshops, classes, and short courses (the "Event") provided by The Patchwork Shop Ltd (trading as Quilt With Kim) ("the Company"). By booking an Event, you agree to the terms set forth below.
1. General Principles
Places for our in-person Events are strictly limited to ensure high-quality tuition. Because resources and kits are prepared in advance, the Company incurs non-recoverable costs upon booking. To keep things simple and fair, the cancellation terms below apply to all workshops, classes and courses, regardless of price.
2. Our 14-Day Cancellation Policy (All Events)
More than 14 days' notice before the Event start date: You may choose a full refund or transfer to another date (subject to availability).
14 days or less before the Event start date: No refund will be issued. However, you may request a one-time transfer to another date (subject to availability) or receive a credit note to be used within 3 months of the original Event date.
4. Substitution of Participants
If you are unable to attend, you may send a substitute to take your place at no additional charge. You must notify the Company via email at least 48 hours prior to the Event start time with the substitute's full name and contact details to ensure registration and health and safety requirements are met.
5. Resale of Places
- If an Event is fully booked and has a waiting list, the Company will attempt to resell your place upon your request.
- If the place is successfully resold, the Company will offer you a refund minus a small administration and transaction fee (£15.00), or a full credit note.
- The Company does not guarantee that a place will be resold.
6. Cancellation by the Company
While every effort is made to ensure Events proceed as scheduled, the Company reserves the right to cancel an Event due to low enrolment, instructor illness, or other circumstances beyond its reasonable control. In such cases:
- Participants will be notified as soon as possible.
- A full refund of the booking fee or a transfer to a rescheduled date will be offered.
- The Company is not liable for any auxiliary costs incurred by the participant (e.g., travel or accommodation).
7. No-Shows and Late Arrivals
No-Shows: Failure to attend an Event without prior notice as per the terms above will be treated as a late cancellation. No refund, credit, or transfer will be issued.
Late Arrivals: It is the participant's responsibility to arrive on time. If a participant arrives significantly late, the Company reserves the right to refuse entry if the instructor deems it disruptive to the group or unsafe, in which case no refund will be due.
8. Workshop Requirements and Equipment
Participants are responsible for reviewing the requirements listed on the Event booking page and in confirmation emails. This includes, but is not limited to, requirements to bring specific sewing machines, fabrics, or notions.
Failure to bring the required equipment is the responsibility of the participant and does not entitle the participant to a refund or credit if they are unable to participate fully.
9. Statutory Rights
Nothing in this policy affects your statutory rights under the Consumer Rights Act 2015 or the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, where applicable. Please note that under Regulation 28(1)(h), the right to cancel a contract within 14 days does not apply to services related to leisure activities if the contract provides for a specific date or period of performance.
